Below is an introduction email from our new park manager, Myra Carroll.  This was sent out from the office directly to residents/home owners. In an effort to make sure everyone sees it, we are eblasting it to you as well.

I would like to introduce myself as your new Community Manager. I understand there are feelings of frustration and lack of trust with Cove. My focus in the coming months is to assess the property, the buildings, team members, vendors, our internal processes, and procedures so that I can work through some of the challenges we are ALL faced with. For purpose of transparency, my team and I will do our best to communicate to you. In return, we ask for patience and understanding as we are transitioning. If you hear rumors, best to contact the office!

Below is pertinent information we want to share with you. Please take time to review and be informed! 

NEW ITEM/REMINDER

  1. Reporting maintenance concerns or repairs (i.e., light post, water break, weeding, grass cutting, etc.)
    1. We will no longer accept verbal request. Please come to the office and fill out a form. You can also email the office to request the form and send it back to us.
    2. You can email the form back to us: [email protected]
    3. The purpose of this form is to record issues so that we can monitor emergency expenses, vendor performance, assess maintenance workload outside of their day-to-day tasks, assess resources and document, document, document!
  1. Your Account Ledger
    1. Home office sends out a text message on or around the 7th of every month. You will receive this text if you have any balance on your ledger. This is a friendly reminder so that you can submit payment by the 10th and avoid late fee.
    2. For those that are in severe delinquency, you will receive a final notice from our office and if balance is not paid, our legal team will contact you.
    3. If you are renting your home and you are in severe delinquency, you and your tenant will receive final notice from the office. If balance is not paid immediately, we will start eviction proceedings for you and your tenant.
  1. Lawn Service/Grass Cut/Weed Spray/Trimming (Rick Roberts)
    1. To clarify, we are responsible for cutting your grass. They will mow/cut all homesites.  If you do NOT want this service, please let the office know.
    2. Weed spray is a Quarterly COMPLIMENTARY service to Cove and residents. If you do not want this service, please contact the office.

                                                              i.      ALL OR NOTHING – They weed ALL or NOTHING. Vendor will not do partial or a section. Your “special” request will be disregarded.

                                                            ii.      If this becomes too cumbersome for our vendor and office staff, we will discontinue this complimentary service.

    1. Trimming is a Quarterly COMPLIMENTARY service to Cove and residents. If you do not want this service, please contact the office.

                                                              i.      ALL OR NOTHING – They trim ALL or NOTHING. They will not accept “trim the big bush, but not the one next to it”. Your “special” request will be disregarded.

                                                            ii.      If this becomes too cumbersome for our vendor and office staff, we will discontinue this complimentary service.

  1. Complaints about too much weed, flooding on the road, grass too saturated with water – This is recurring issue every year, especially this time of the year (June September).  This is out of our control. Mother Nature has a mind of her own.
    1. Residents are required to maintain their yard year-round.
    2. Lawn service will not come on property when grass is too saturated from constant rainfall to prevent equipment damage and large ruts ruining your grass.

AVOID A CITATION

  1. Political flags & signs are not permitted. Please take them down.
  2. Parking of trailers, RVs, or other vehicles empty sites are not permitted without permission from the office.  They will be towed.
  3. Garbage / Recycle Pickup
    1. General household trash pickup FOR TUESDAY - Your Recycle pick up is scheduled 1st and 3rd Wednesday of the month
    2. General household trash pickup for THURSDAY – Your Recycle is 2nd and 4th Wednesday of the month
    3. “Special Item” pickup like mattress, chairs, yard waste, appliances are done DAILY after 1:30 PM.  You MUST contact the office to be put on the pickup list no later than 1:00 PM. If we receive your request after 1:00 PM, your item will not be picked up until the next business day.
  1. Dumping by Maintenance Shop:
    1. Please refrain from dumping trash, or other large household items by the maintenance shop. Maintenance crew can pick up at your curbside. You are creating more work for the crew.
    2. If this problem continues, we will have no alternative but to close the gate. For those of you who wants to be defiant, SMILE because you are on camera! You specifically will be notified of a fee for the additional charges incurred.
    3. If you hire a contractor to do repairs to your home, your contractor is responsible for hauling construction materials outside our property.  That is their responsibility and part of their pricing they are charging you.
    4. If your profession is in construction and you are doing work on or off Jamaica property, we are NOT responsible for disposing your construction materials. Dump it elsewhere. I checked our invoices, and we are accruing additional charges because of weight overage. We do not mind paying that for our residents, but we shouldn’t have to pay for overage for your business/trade.

REPAIRS IN THE NEAR HORIZON

  1. Gate arm: Estimate received, signed, and approved last week; waiting for vendor to schedule repair
  2. Gatehouse phone: Waiting for leadership to approve a cell phone purchase dedicated for gatehouse attendants
  3. Road damage from water main breaks damage: Maintenance will handle smaller holes; waiting for contractor to provide estimate for larger areas
    1. Please be patient. In addition to their day-to-day maintenance tasks, our crew is managing repairs of water breaks and road repairs constantly.
  4. Small Pool by S.E. Bay: Will have vendor assess if any major issue (i.e.: leak, wall cracks).
  5. Ladies’ toilet seats – CM will commit to changing out toilet seat in Ladies Room (3) at the Veranda building by 12/31/24.
  6. Fountain on North Bay (hit by lightning) - Waiting on work estimate (TEM)
  7. New Projector at the Veranda – This was just replaced 4-5 years ago but we were told that it got hit by lightning and no longer works. We will contact a couple of vendors for replacement
  8. Awning replacement by Veranda:  Vendor coming this week to measure and hopefully completes the job, if not next week.
  9. Pickleball Courts: Repaint
  10. ADA Compliant for pool gate entry and pool lift – CM to assess and provide update.

LONG TERM CAPITAL EXPENDITURES

  1. New Homes vs Old Homes
    1. Residents selling older homes do not receive the same incentives/benefits as NEW homes sold by Cove.
    2. Request to have Cove consider program/incentive to do the same/similar for preowned homes to help turnover (i.e.: 1 month lot rent)
    3. Cove will brainstorm ways to help sell pre-owned homes through incentive program
  1. Street sweeping: Will get this out for bids for potential recurring service on property; leadership will assess for possible future recurring service/expense.

  2. Canal Drudging: Capex submitted for 2025 budget for some, but not all the canals. This is a HUGE expense. We will obtain bids for upkeep and submit to leadership for possible future Capex.

  3. Clubhouse Floor: Assess, obtain estimates, and submit for Capex.
  4. Pioneer Plaza Building (by small pool & picnic area) – Out of use for 2 years
    1. The work estimate is $140K (submitted for Capex)
    2. Lee County/FEMA 50/50 issues
    3. In permitting process – might need a new appraisal/building value to determine FEMA 50/50 rule, as well as obtaining an elevation certificate which might push us to raise the building off the ground. If so, we will have to go back to the drawing table for another option.
  1. Electrical Meter Pedestal (350) – Projected estimate $2.4 million
    1. Submit Capex in increments (10-15 per annual). In the meantime, we have a vendor that handles repair as on-need basis.
  1. Sports Complex Initiative
    1. Project estimates $10M. HOA asked not to have expense pass-through homeowners. However, to do that project needs to be scaled down but still deliver top highly desired amenities: additional pickleball courts (6 to 8 more) and shuffleboard courts.

I think that’s everything!
